Terms & Conditions

These terms and conditions apply to all retreat bookings with A Practice Of Being. By booking a spot, you agree to the following terms.

1. Contractual Agreement

Your booking confirms a legal contract between you and A Practice Of Being. By booking a spot, you and any members of your party agree to these terms and conditions.

2. Booking, Deposits, and Payment Plans

  • The Deposit: To secure your spot, a non-refundable deposit is required upfront. This deposit covers venue costs and administrative fees. Under no circumstances is this deposit refundable.

  • Remaining Balance and Payment Plans: After the deposit is made, you will receive an invoice for the remaining balance. You can choose to pay this remaining balance in full or through a scheduled payment plan via invoice.

  • Full Payment Deadline: Full payment for the retreat must be received at least 45 days before the start date for European retreats, and at least 90 days before the start date for non-European or long-haul retreats (e.g., Kenya). If you are booking your spot closer to the start date than these required deadlines, the full amount must be paid at the time of booking via Stripe.

  • Failure to Pay: If your remaining balance or payment plan installment is not paid by the due date, we reserve the right to cancel your booking and offer your spot to someone else. No refunds will be provided for payments already made.

3. Cancellation by the Participant

Due to the small nature of our company and the long-term financial commitments required to secure venues and partners, all payments made to A Practice Of Being are non-refundable. If you cancel your booking at any time prior to the retreat, no refunds will be issued for the deposit, any installments, or full balances already paid. If you depart early or cancel after the retreat has begun, no refunds will be issued. If you find you are unable to attend, we warmly invite you to transfer your spot to a friend or fellow student so your investment is not lost. Please see Section 5 for details on how to arrange this.

4. Medical and Emergency Cancellations

We cannot make exceptions to our cancellation policy for personal emergencies, illness, medical conditions, or travel disruptions. We require you to purchase comprehensive travel insurance that covers medical cancellations and trip interruptions immediately after booking your spot. If you must cancel due to a medical issue, we will provide a formal cancellation receipt for you to submit to your insurance provider for reimbursement.

5. Transferring Your Spot (The Replacement Option)

If you cannot attend, you may transfer your spot to a friend, family member, or someone from our waitlist. You are completely responsible for finding the replacement and organizing the exchange of all funds directly with them. A Practice Of Being will not facilitate refunds or handle the financial transfer between parties. For European retreats, please notify us at least 14 days in advance. For Non-European / Long-Haul retreats, please notify us at least 30 days in advance. We must receive written confirmation from the new participant that they agree to these terms before the transfer is official and they are granted entry to the retreat.

6. Travel Documents, Vaccinations and Visas

You are entirely responsible for securing a valid passport, required visas, and any necessary vaccinations for your destination. A Practice Of Being is not liable if you are denied entry at borders or on flights, and standard cancellation policies will apply.

7. Cancellation by A Practice Of Being

If we must cancel the retreat due to unforeseen circumstances or low enrollment, you will receive a full refund of all payments made to us, including the deposit. We are not responsible for any additional expenses you may have incurred, such as flights or transportation, this will be handled by your travel insurance.

8. Health, Liability, and Assumption of Risk

You are ultimately responsible for your own health and well-being during the retreat. By participating, you confirm that you are physically and mentally able to engage in the retreat activities. Please consult a doctor before attending if you have any injuries, chronic conditions, or if you are pregnant. A Practice Of Being, its educators, and its partners are not liable for any injuries, accidents, or lost property that may occur during the retreat.

9. Right to Alter the Schedule

We reserve the right to alter the schedule, educators, or specific practices if necessary to best serve the retreat. These adjustments do not constitute a cancellation of the retreat.

10. Code of Conduct

We reserve the right to ask a participant to leave without a refund if their behavior is disruptive, abusive, unsafe, or detrimental to the group.

11. Photography and Media

Images and videos taken during the retreat may be used by A Practice Of Being for marketing purposes. If you wish to opt out, please notify us in advance.
